eager to learn. Superior communication skills, the ability to multitask under pressure, and good knowledge of Southeast Asian Art are required. Must be comfortable with improvising, taking initiative, and be calm under pressure. Discretion, a collaborative spirit and a positive attitude are essential requirements for these roles. You must also be confident, highly presentable and with an understanding of exceptional customer service.

Key Responsibilities:
- Assist in monitoring online sales platforms.
- Interacting with the public in front-facing capacity including answering phone calls
and fielding visitors and collector’s questions. - Supporting the design and development of digital sales tools.
- Support our current loyal client base, as well as proactively building
and nurturing new customer relationships. - Monitoring and research global art markets and implementing sales strategies.
- Work with other teams (Marketing, Curatorial) to provide content
and support for exhibition related matters. - Ensure timely follow up with clients after exhibition and art fairs.
- Generate accurate and timely invoices to clients.
- Respond to email inquiries and other inquiries through 3rd party sales
channels such as Ocula and Artsy. - Maintain up to date and comprehensive client information.
- Build customer service relationship for effective and comprehensive coverage.
- Update Gallery Manager daily on customer’s general business.
- Achieve monthly and yearly sales targets.
- Manage specific portfolios under his/her responsibility.
Requirements:
- Comfortable being in a front-facing in-person role.
- Possess a post-graduate degree preferably in the Arts/Arts History/Art Management.
- Keen interest in and strong knowledge of SEA art history.
- Proficient in Microsoft Office Applications.
- Thorough knowledge and appreciation for the artist represented by the Gallery.
- Strong organisational, project management, and inter-personal skills,
able to work independently and as part of a team. - Able to withstand work pressure and customer’s demands.
- Able to work on weekend and at after hour events.
- Ability to treat sensitive information with appropriate discretion.
- Entails moderate physical duties daily.
- Travel will be required for the role.

Gallery Assistant

Job Summary:
The Gallery Assistant serves as a key administrative and executive support role to the Gallery Director and Owner. This position is responsible for ensuring the smooth and efficient management of their day-to-day affairs by providing high-level administrative and secretarial support. The Assistant is expected to take initiative where appropriate, particularly in the absence of the Director, and must demonstrate a high degree of creativity, independence, and adaptability.

Key Responsibilities:
Assistant to Manager
- Provide comprehensive administrative support to the Directors and Owner to ensure the smooth operation of daily activities.
- Manage correspondence with artists, clients, and vendors on behalf of senior administrative staff.
- Act as the secondary point of contact (Second-in-Command) for projects led by Gallery Directors.
- Support the Finance Department in tracking and collecting payments from clients.
Customer Relationship
- Conduct personalized VIP tours for clients, artists, museum curators, scholars, and other special guests.
- Ensure a welcoming and professional environment for all visitors by maintaining gallery cleanliness, preparing accurate price lists and artist information, and offering engaging gallery tours.
- Foster long-term relationships by converting first-time visitors into repeat clients.
- Maintain an up-to-date and comprehensive client database.
- Develop and nurture client relationships to ensure thorough and effective engagement.
- Provide daily updates to the Gallery Director on client interactions and general business activity.
Administrative

Gallery Registrar
& Venue Hire Coordinator

Job Summary:
The Registrar is responsible for overseeing the Gallery’s inventory and ensuring the accurate documentation, care, and movement of artworks. This role manages all incoming and outgoing works of art, coordinating closely with artists, collectors, and institutions. The Registrar also assists with local and international shipping logistics, including customs procedures, to ensure the safe and compliant transport of artworks for exhibitions, sales, and loans.
The second main responsibility as a Venue Hire Coordinator is to be responsible for managing all aspects of external gallery rentals, including private functions, events, and group bookings. This role involves liaising with prospective clients, administering hire agreements, and ensuring the smooth coordination between clients and internal teams. The Coordinator will maintain all related documentation and manage the venue hire calendar.

Key Responsibilities:
Registrar
- Maintain accurate and up-to-date records of all artworks, including provenance, condition reports, acquisition details, and exhibition history.
- Manage the gallery’s collection database.
- Create and update condition reports for all incoming and outgoing works.
- Coordinate loans (both incoming and outgoing), including loan agreements, insurance, condition checks, and transportation.
- Liaise with artists, collectors, lenders, and institutions on the logistics and terms of loans.
- Ensure compliance with legal and ethical standards for international or domestic loans (e.g., export/import regulations, cultural property laws).
- Organize packing, shipping, and customs documentation for artworks, both domestically and internationally.
- Select and coordinate with fine art shippers, couriers, and handlers.
- Oversee the safe transport and installation/deinstallation of artworks.
- Perform or arrange condition checks before and after transportation or exhibition.
- Work closely with conservators to assess and recommend treatment when necessary.
- Monitor the environmental conditions (e.g., temperature, humidity, light) of storage and display spaces.
- Arrange and maintain insurance coverage for artworks in storage, transit, or on display.
- Ensure proper storage of artworks, using archival materials and best practices.
- Work with curators and exhibition teams to plan and execute the logistical aspects of shows.
- Manage shipping schedules, crate production, artwork layout, and installation needs.
- Create installation guides and movement schedules.
Venue Hire Coordinator
- Manage all external venue hire requests for events, group bookings, and private functions.
- Liaise with clients regarding venue availability, hire terms and conditions, quotations, equipment needs, and other booking details.
- Prepare, issue, and manage contracts, required documentation, and ensure
compliance with gallery policies. - Maintain an up-to-date venue hire calendar and accurate records of all hire agreements.
- Act as the main point of contact between the Gallery and the client throughout the hire process.
- Ensure the venue and all related equipment or services are available, functioning, and prepared for hire.
- Develop and maintain a professional sales pack and promotional materials for venue hire.
- Coordinate closely with Gallery team to ensure venue hires are scheduled in alignment with exhibitions and internal programming.
