    Job Summary
    The Gallery Assistant – Design & Exhibition Management plays a central role in shaping the visual identity and exhibition delivery of the Gallery’s Philippines operations. This position is responsible for leading all graphic design and creative output across exhibitions, publications, marketing, and digital platforms, while simultaneously supporting the end-to-end management of exhibitions held locally and internationally.

    The ideal candidate brings a strong design sensibility and a thorough understanding of contemporary art practice, with the ability to translate curatorial concepts into compelling visual communication. Working closely with the Gallery Manager and cross-functional teams, this role requires someone who is equally comfortable at a design workstation and on the gallery floor – overseeing installation, coordinating logistics, and ensuring the highest standard of presentation across all gallery touchpoints.

    A wide degree of creativity, initiative, and professional latitude is expected. The role also carries supervisory responsibility for Design Interns, and contributes to the broader operational and administrative functions of the Gallery.

    Duties & Responsibilities

    Design

    • Conceptualise and execute design across all gallery exhibitions, fairs, and projects, including publications, posters, invitations, catalogues, signage, and social media assets
    • Develop and maintain the gallery’s visual identity, ensuring consistency in branding across all design outputs and platforms
    • Manage the full design production process from initial concept through to final print-ready or digital delivery, maintaining quality and accuracy at every stage
    • Liaise with printers, fabricators, and external vendors to obtain quotes, manage timelines, and oversee production quality
    • Assist with the technical aspects of multimedia and installation artworks, including creating instructional manuals and technical documentation
    • Collaborate with the Curatorial and Marketing teams to develop visually aligned content for exhibitions and programmes
    • Contribute creative ideas in brainstorming sessions for gallery projects, campaigns, and initiatives
    • Manage multiple design projects simultaneously, adhering to deadlines while maintaining high attention to detail
    • Maintain an organised archive of design files, templates, and brand assets
    • Stay informed of current design trends, contemporary art practices, and developments in the Southeast Asian art scene to keep the gallery’s visual output fresh and relevant
    • Assist with any other design requirements as directed

    Design & Social Media

    • Create and schedule visual content for the gallery’s social media platforms (Instagram, Facebook, etc.), in coordination with the wider team
    • Assist with updating the gallery website, including exhibition pages, artist profiles, and artwork listings
    • Support the design and distribution of e-newsletters and digital communications to the gallery’s mailing list
    • Ensure all digital assets are optimised for their respective platforms and meet the gallery’s brand standards

    Exhibition Management

    • Assist in the organisation and delivery of Philippines-based exhibitions from inception to completion, including timeline management, vendor coordination, and on-site oversight
    • Coordinate and supervise the handling, packing, and installation of artworks for shipping and exhibition
    • Support condition checking of artworks on receipt, during the exhibition period, and at deinstallation
    • Provide technical support and ensure the daily operational integrity of all exhibitions at the gallery locally and internationally
    • Coordinate general exhibition matters including artist liaison, lender correspondence, and supplier management
    • Assist with the production of exhibition materials including price lists, wall texts, floor plans, and installation guides
    • Assist with the procurement and preparation of exhibition materials and supplies
    • Lead the gallery’s participation in art fairs, including booth design, production coordination, and full on-site presence throughout the fair week
    • Support post-exhibition deinstallation, repacking, and artwork return logistics

    Administrative

    • Manage daily administrative and project management tasks to support the gallery team
    • Supervise Design Interns, assign and monitor projects, and provide guidance and feedback on their work
    • Support the onboarding of new Design Interns, familiarising them with gallery systems, tools, and processes
    • Maintain organised project files, correspondence records, and design documentation
    • Provide general support to colleagues and guests, answering questions and handling requests professionally
    • Carry out administrative duties as required, including filing, scheduling, and correspondence
    • Handle sensitive and confidential information with appropriate discretion

    Job Holder’s Specifications

    Essential

    • degree or diploma in Graphic Design, Visual Communication, Arts Management, or a related discipline
    • Proficient in Adobe Creative Suite, with strong working knowledge of Photoshop, InDesign, and Illustrator
    • Proficient in Microsoft Office applications
    • Strong visual sensibility and design thinking, with a portfolio demonstrating range and quality of work
    • Thorough knowledge and appreciation of the artists represented by the Gallery
    • Self-disciplined, highly independent, and resourceful, with strong organisational and project management skills
    • Able to manage multiple projects under pressure and meet deadlines without compromising quality
    • Excellent written and verbal communication skills in English
    • Able to correspond professionally with clients, suppliers, artists, and internal staff
    • Able to work on weekends and attend after-hours events as required
    • Willing and able to travel for international art fairs and events
    • Comfortable with physical duties related to exhibition installation and artwork handling
    • Ability to treat sensitive information with appropriate discretion
    • Punctual and reliable in all aspects of the role

    Preferred

    • Prior experience in a gallery, museum, design studio, or arts organisation
    • Experience with motion graphics, video editing, or web design an advantage
    • Familiarity with gallery management software or digital asset management tools
    • Experience supervising or mentoring junior staff or interns
    • Understanding of art fair logistics and exhibition production processes
    • Knowledge of the Philippine and Southeast Asian contemporary art scene
